Hi All,

The committee has decided on the 2nd of April 2011 for the club AGM. We would like to encourage as many of you as possible to attend. This is YOUR Club, please feel free to have a say and participate in the way that the club is run and the decisions that the committee makes on your behalf.

This will be your oppertunity to air anything about the club, volunteer your services and be able to vote on/off committee members if replacements are forthcoming etc etc.

I'll hand this thread over to Phil Hunt to discuss the exact requirements of the constitution and processes to be used. I will just facilitate the organisation of.

The Disco3CLUB Committee are happy to announce further details of the 2011 Disco3CLUB AGM.

We have been able to secure the use of conference facilities at the Motor-Heritage Museum at Gaydon near Coventry. http://www.heritage-motor-centre.co.uk/ We also have agreement for free entry into the Motor Musuem (normally £11) for those that want to take advantage and have a good look around.
We have enough tickets for Club Members to attend and we may have some extra's (depending upon how many wish to attend) If you require more than one ticket entry, please let us know ASAP and we will try to arrange this. There is a £5 charge for additional tickets over our alloted ammount.

12 Noon onwards.. Arrive and collect pass from our suite. Visit museum & cafe at leisure (We may be able to arrange earlier arrivals if you indicate to us ASAP)

2pm Group Photoshoot at front of museum

2.30-4.30pm Disco3CLUB Annual General Meeting 2011

5.00pm Home or we can arrange for a Group meal at local pub for those who wish to stay on.

More details will be coming out soon, but if you haven't signed up already, then please do so. We'd like as many members as possible to be represented at our first Annual General Meeting.

We have over 100 paid members so it will be interesting to see how many come along. Maybe free beer would help! :shark:

I won't be able to attend (unless it will be held this side of the Channel :lol: ) - but will details and meeting agenda be available ahead of time and with allowance for proxy voting, suggestions etc ?

I think it's appropriate to remind everyone that the Agenda for the AGM is set by the Constitution. It's quite specific and it is outlined below in summary form:

The Annual General Meeting of the Club shall be held in the month of April in each year upon a date and at a time to be fixed by the Committee.

The Annual General Meeting shall:

Receive from the Committee a full statement of accounts which may be audited, showing the receipts and expenditure for the year ended 31st March;

Receive from the Committee a report of the activities of the Club during the said year;

Elect the Committee - Nominations of Candidates for election to the Committee must be received by the Secretary not less than seven days before the Annual General Meeting, with an intimation in writing from each Member nominated that they are willing to stand for office.

Decide on any resolution which may be duly submitted to the meeting as provided for in these rules - When Members wish a matter to be discussed the text of that matter shall be sent to the Secretary at least fourteen days before the date of such meeting so as to be included in the agenda of that meeting.

A copy of the agenda shall be sent to each Member at least five days prior to the date of the meeting, but the fact that any Member has not received a copy of the agenda shall not invalidate the proceedings.

Business which is not included in the agenda, under the item "Any Other Business" shall not be discussed at the meeting unless every Member present is in favour of the discussion taking place.

Is there any way that we can have a field showing the member's location on the sign up?

All details and the final meeting agenda (including any motions received) will be published in advance of the AGM. Nominations for Committee members will be called for in advance of the meeting in a separate post to this as will requests for motions to be considered by the AGM. There is no provision for proxy voting.

Can I ask why there is no proxy voting? Some members can not make the AGM due to location if nothing else, so it seems a little un-usual to not allow them. :?:
